What this does: The My Service Providers screen is where you see service providers connected to your account and control which of your locations each linked provider (and the technicians who work for them) can see and work in.
Before you start: You need access to Account Details. Location access works in two layers, explained below. Widening a provider's or a user's access takes effect immediately.
How location access works
Trakref controls location visibility in two layers:
- Service Provider (account-level) access. Set when the service provider is linked to your account. This is the most any technician from that provider can ever see.
- User (technician-level) access. Set per user, in each account they work in. It can match the service provider or be narrower, but never broader.
The one rule that ties them together: A user can have the same access as their provider, or less, but never more. If a service provider loses access to a location, every user from that provider loses it too.
Access is per-account, not universal. A technician who works across several accounts can have different access in each one.
Location permission options
Each level has two options: Access to all locations or Choose from a list (a specific subset). What a user is allowed to be set to depends on the service provider link:
- If the service provider link = Access to All Locations: the user can be set to Access to all locations, or Choose from a list (any subset).
- If the provider link = Specific Locations (Choose from a list): the user can be set to Access to all provider account locations (all of that subset), or Choose from a list (a subset of those locations).
Managing a Service Provider's Location Access
Open My Service Providers. From Account Details, go to My Service Providers. The Grant Type column shows whether each provider currently has All Locations or Specific Locations. Only Service Providers with the Grant Type Specific Locations can be edited.

Edit a Service Provider's locations. Select the pencil (edit) icon on the row of the service provider you are editing.
Choose the locations. Under Assigned Locations, Choose from a list should be selected. Enable the Region toggle if needed, and check or uncheck the locations this service provider should have. Then select SAVE.
