What this covers: Trakref keeps a living system status on every client asset. These operational statuses tell the client and the service provider what is happening with the asset, and they power some of the compliance tools Trakref offers to help keep clients safe. This article explains the Under Repair status: what it means, what puts an asset into it, and how to get the asset back to Normal Operation.
Who this is for: Anyone entering service events in Trakref — service providers who cannot close a work order, and clients reviewing the status of their equipment.
The two statuses you'll see most
- Normal Operation — the most common system status. The asset is running normally. There are no leaks or issues present that a technician can see.
- Under Repair — the opposite of Normal Operation. The asset has a leak that has not been fixed. The leak was either found during, or not fixed during, the most recent service event. An Under Repair asset usually needs a service or leak repair event to get it back to Normal Operation. It is very common for a service provider to be unable to close their work order while an asset sits Under Repair.

What puts an asset Under Repair
There are many different reasons for an asset to go Under Repair. Below are the answers on your service event that cause the asset to go Under Repair.
- A leak was found on a Leak Inspection
- This is most common. A technician found a leak during a routine preventative maintenance inspection, and documented it in Trakref using a Leak Inspection service event. A separate Service or Leak Repair event is needed to document the repair of the leak.
- Gas was added with no leak found
- When a technician goes into service a system and adds gas to an asset with no leak found selected on the service or leak repair event, that triggers the asset to go Under Repair. The only solution to closing your work order, or updating the asset, is to reach out to the client and discuss if the Record Refrigerant service event type should be used instead, or if they want it documented another way.
- The Initial Verification Test failed
- There are two options for the Initial Verification Test: pass or fail. Pass means the leak was fixed. Fail means the asset is still leaking. When you fail the verification test, this triggers the asset to go Under Repair. The only way to get the asset back to Normal Operation is to add an additional Service or Leak Repair event when the asset passes the Initial Verification Test.
- The Follow Up Leak Verification
- Three fields on the follow up can hold an asset Under Repair:
- Leak Repair Status — lets everyone know whether the asset is still fixed at the follow up. If the asset is still fixed, the Leak Repair Status should be Leak Repaired. If the tech attempted to fix the asset and the repair did not work, it will be Repair Attempted, which triggers the asset to go — or stay — Under Repair. If a leak was found and the tech took no action, then No Repair Attempted, which also sends or keeps the asset Under Repair.
- Was a Leak Found or a Circuit Opened? — when an additional leak, or the same leak, is reported on the follow up, this keeps the asset Under Repair or triggers it to go Under Repair. Another Service or Leak Repair event needs to be recorded when the leak is repaired to get the asset back to Normal Operation.
- Status After Service — allows you to place the asset back to Normal Operation or Under Repair. If any of the triggers above have fired, selecting Normal Operation will not place the asset back to Normal Operation.

How to get an asset back to Normal Operation
The best way to fix an asset that is Under Repair is to use the Service or Leak Repair event itself. You have three options:
- Enter a new Service or Leak Repair event that fixes the leak.
Create Service Event — choose the equipment worked on, set the Type of Service to Service or Leak Repair, and proceed.
- Complete an unfinished event — a Saved For Later or Draft Service or Leak Repair that was never finished.
A Draft service event in Your Service History — open the Service Event ID to finish the entry.
- Correct or edit an existing event — a Service or Leak Repair that may have been entered wrong.
