What this does: This video and guide demonstrate how to create and manage work orders using the Trakref mobile experience designed for technicians in the field. It covers navigating the mobile menu, filling required fields, and confirming work order creation efficiently.
Before you start: Have the work order type, your customer work order number, the location, the scheduled date, a priority, and a one- or two-sentence description of the problem.
Creating a Work Order
Step 1. Open the menu. After you log in, tap the menu icon in the top-left corner of the screen.

Note: The mobile menu is shorter than the desktop version by design. You will not see the full desktop menu here.
Step 2. Tap Work Orders. This opens the Work Orders list for your organization.

Step 3. Open an existing work order, or start a new one.
- To add to an existing work order — tap its Work Order ID in the left-hand column.
- To start a new one — tap CREATE WORK ORDER + at the top of the list.
Shortcut: CREATE WORK ORDER is also available directly on the Home page, so you can skip the menu entirely.
Home also has a CREATE WORK ORDER button.
Step 4. Complete the required fields. Every field marked with an asterisk (*) is required.
- Work Order Type * — for example, Trouble / Problem Ticket.
- Work Order Number * — your customer work order number. This is driven by your CMS or invoicing system.
- Purchase Order Number — optional; leave blank if you do not use one.

Step 5. Set the location and service company.
- Use my Location — tick this to narrow the location list to sites near you instead of scrolling the full list.
- Location * — the site where the work is being performed.
- Service Company * — your company/service provider.
Step 6. Set the scheduled date, priority, and problem description.
- Scheduled Date * — the date you started this service.
- Priority * — High, Medium, or Low, whichever you judge it to be.
- Problem Description * — dispatcher notes only. Keep it to one or two sentences.
Note: The Problem Description is not where technician notes go. Those are recorded later, on the service event.

Step 7. Skip the proposal fields and create the work order. Leave Low Dollar Limit, High Dollar Limit, and Proposal Required alone unless your program uses them, then tap CREATE.
- CREATE — creates the work order on its own.
- CREATE AND ADD SERVICE EVENT — creates the work order and takes you straight into recording the service.

Step 8. Confirm the work order was created. A rocket ship animation means the work order was created successfully. Tap View Work Order to open it.

Troubleshooting
- CREATE does nothing when tapped. One or more required fields are still empty. Scroll back through the form and fill in every field marked with an asterisk — Work Order Type, Work Order Number, Location, Service Company, Scheduled Date, Priority, and Problem Description.
- You cannot find your location in the list. Tick Use my Location to filter the list to nearby sites. If the location still does not appear, it may not be assigned to your account — contact your Trakref administrator.
- The menu looks incomplete compared with the desktop site. That is expected. The mobile menu is deliberately limited to Home, Work Orders, Service Events, and Inventory. Use the desktop version of Trakref for anything outside those areas.
- The work order number is rejected or truncated. Work Order Number is limited to 50 characters.
- You created the work order but no service is recorded against it. Creating the work order only opens the record. Open the work order and tap CREATE SERVICE EVENT to record the actual service event.
