What this does: A Site Leak Inspection records one leak inspection across every selected system at a location in a single pass, instead of the user individually creating a service event for each system. You mark each system as inspected, record whether a leak was found, and Trakref generates an individual leak inspection service event for every system you selected. This guide covers the mobile experience.
Before you start: You need an existing work order for the location. You will also need the inspection date, the leak inspection method you used, leak inspection results, and the name of the primary technician who performed the work.
Adding Site Leak Inspections
Step 1. Open the work order. If you have just created the work order, tap VIEW WORK ORDER on the confirmation screen. Otherwise open the left menu, tap Work Orders, and tap the Work Order ID you want to inspect against.
Tap VIEW WORK ORDER on the confirmation screen to go straight to the work order.
Step 2. Tap Add Site Leak Inspection. Scroll past the work order details to the list of service event shortcuts at the bottom of the page, and tap Add Site Leak Inspection.

When to use it: Use Add Site Leak Inspection when you are inspecting several systems at one location. If you only have a system or two, CREATE SERVICE EVENT works just as well and takes fewer taps.
Step 3. Complete the Inspection Details. Fill in the four fields at the top of the form:
- Inspection Type — already set to Leak Inspection and cannot be changed on this form.
- Inspection Date * — the date you performed the inspection.
- Leak Inspection Method * — how you inspected, for example Electronic Ultrasonic.
- Primary Technician * — the technician who did the work. You can add more technicians if the inspection was performed by a crew.
Inspection Details. Inspection Type is pre-set to Leak Inspection; the three fields marked with an asterisk are required.
Step 4. Narrow the system list with Filters (optional). Below Inspection Details, use Filters to shorten the list of systems you have to work through:
- System Type — show only one kind of system, such as Refrigeration or Comfort Cooling. Leave it on All to see everything at the location.
- Charge Capacity (lbs) — show only systems at or above a charge size, useful when you are inspecting to a regulatory threshold.
Filters, then SELECT ALL. Each system starts with a No Change status pill.
Step 5. Select the systems you inspected. Every system you tick will get its own leak inspection service event. You have two ways to work through the list:
- All systems, no leaks found — tap SELECT ALL, then tap MARK SELECTED AS NO LEAK. This answers Was Leak Found? with No for every system at once.
- Some systems, or a leak found — tap CLEAR, then tick only the systems you actually inspected and answer Was Leak Found? on each one.
Each system card shows its type, tag number, gas capacity, material type, serial number and install date, followed by Was Leak Found?
After SELECT ALL, every system is ticked and its status pill reads Pending until you answer Was Leak Found?
Only mark all as no leak if that is true: MARK SELECTED AS NO LEAK sets every ticked system to no leak found. Use it only when you inspected all of those systems and found nothing.
Step 6. Record a leak on a system. Set Was Leak Found? to Yes on that system and complete the fields that appear:
- Date Leak Found * — the date you found the leak.
- Leak Location * — where on the system the leak was, for example Liquid Line.
- Leak Sub-Location * — the specific component, for example Joint.
- Leak Cause * — what caused it, for example Joint Failure.
- Estimated Leak Amount — optional; your estimate of how much refrigerant was lost.
A leak recorded on the Carrier system. Its pill changes to Leak Found, while Rack H stays at No Leak Found.
A leak inspection identifies a leak; it does not repair it: You cannot record a repair, or the refrigerant added back, on a leak inspection. Log the repair separately as a Service or Leak Repair service event once the work is done.
One ticket per leak location: If you find leaks in more than one place on the same appliance, record each leak location as its own leak ticket rather than combining them.
Step 7. Complete the inspection. Scroll all the way down and confirm every system you inspected is still ticked and answered, then scroll back to the top and tap COMPLETE.
COMPLETE sits at the very top of the form, above Inspection Details.
Step 8. Confirm and review the service events. A rocket ship and the message Site Leak Inspection created. means you are done. Tap VIEW WORK ORDER, then scroll to Service Events on the work order to see the individual leak inspection recorded against each system.
The confirmation also reminds you to log any repairs as a separate Leak Repair service record.
Troubleshooting
- COMPLETE does nothing when tapped. A required field is still empty. Check Inspection Date, Leak Inspection Method and Primary Technician at the top, then scroll the system list and make sure every ticked system has Was Leak Found? answered.
- You cannot find Add Site Leak Inspection. It is not one of the buttons at the top of the work order. Scroll past the work order details to the list of service event shortcuts at the bottom of the page.
- A system is missing from the list. A filter is probably still applied. Set System Type back to All and clear Charge Capacity (lbs). If it still does not appear, the system may not be assigned to this location in Inventory.
- A system shows Pending after you completed the inspection. Pending means the system is ticked but Was Leak Found? has not been answered. Answer it, or untick the system if you did not inspect it.
- There is nowhere to record the repair. That is expected. A leak inspection only identifies a leak and its cause. Record the repair and any refrigerant added as a separate Leak Repair service event.
- You cannot find the inspection after completing it. Open the work order and scroll to Service Events. The site leak inspection is not stored as one record — it appears as a separate leak inspection service event for each system you selected.
