Why does a work order need to be re-opened? After a work order is closed, updates cannot be made to the work order or the service events. If a correction needs to be made to a closed work order or service event, or an additional service event needs to be recorded to a closed work order, the work order will need to be re-opened in order to complete these updates to the record.
The option to Re-Open a work order is limited to specific user groups in trakref.
If you do not see the button RE-OPEN in the upper right section of the Work Order Detail page, you may not have the appropriate permissions to complete this action. If you do not see this option but need a work order re-opened, please reach out to Trakref Support by clicking the Support button in the bottom right corner.
If you do see the button RE-OPEN in the upper right section of the Work Order Detail page, complete the below steps to re-open a closed work order:
1. Navigate to the work order detail page for the Closed work order that needs to be re-opened. This can be done using the Work Order Filter Criteria page, or Global Search.
2. From the Work Order Detail Page, find the RE-OPEN button in the upper right section of the work order detail page.
3. Select RE-OPEN.
4. Complete the form to Re-Open Work Order
Reason: select a Reason from the dropdown that best describe why the work order needs to be re-opened. For example:
Work In Progress – to add more service records to the work order
Under Evaluation – to update existing service records on the work order
Notes: add a brief note explaining why the work order needs to be re-opened
5. Once the form is complete, select the button Re-Open Work Order to complete the command Re-Open.
6. Work Order page will reload and the work order now show Status: Open and Status Reason reflecting the Reason selected in the Re-Open Work Order form.
- Any Notes added on the Re-Open Work Order form are visbile under the Work Activity section of the work order.
